What does your business actually need?

Write down one recurring problem, who experiences it and what a successful result would look like. For example: a textile owner needs to know which job-work batches are overdue; an agency needs approved scope changes linked to payment; a shop needs customer enquiries routed to one owner. Those are different projects even if all three are called a dashboard.

Before asking for custom software, check whether an existing product meets the requirement. A configured existing tool can cost less to operate than a new application. Custom development becomes useful when the workflow, permissions, integrations or customer experience genuinely need something different.

02 Compare evidence

Ask to see a real workflow, not just a cover image

Ask the company to demonstrate a task similar to your requirement: create an order, change its status, restrict an account or export a report. Ask which parts are live, which are still being built and which are concepts. A presentation is useful for discussing an idea; it is not proof that the whole system exists.

For a textile order screen, an acceptance check might say: an authorised user can issue material to a processor, record the return and view the outstanding quantity in the correct unit. That is more useful than a proposal line that only says inventory module.

Ask how errors, access and handover are handled

  • Who can view private records, approve changes and export data?
  • How are credentials kept out of the browser and source repository?
  • What happens if a payment callback, integration or import fails?
  • Who owns the backup schedule, and how is restoration checked?
  • Can another developer understand and maintain the delivered system?

These answers belong in the scope and handover. They should reflect your actual data and users rather than a generic promise that a platform is secure.

Choose a communication model you can sustain

A local partner can help when discovery needs a visit to the shop or production floor. Remote delivery works when requirements, review decisions and account access can be handled clearly through calls and shared documents. Confirm who makes decisions, who reviews milestones and how scope changes are approved.

06 Prepare a brief

Send a brief that leads to a useful conversation

Include the business, the present workflow, who will use the system, one or two example tasks, the tools that need to connect and any budget or timing constraints. Remove confidential customer data from examples. If you do not know the technical solution, describe the problem instead.
