WhatsApp lead routing
Enquiries arrive from the website form, WhatsApp and phone calls, and the ones that are lost are usually lost between those channels. Lead routing puts every enquiry into one list, sends an acknowledgement, assigns it to the right person by service or area, and reminds that person if nobody has replied. Nothing quotes a price or makes a commitment on your behalf without a person approving it.
Automated WhatsApp messages run through Meta’s WhatsApp Business Platform, which needs a verified business account and charges for certain messages under Meta’s own pricing. We estimate that running cost during scoping, so it is part of the decision.
RAG: answers from your brochures, price lists and PDFs
Retrieval-augmented generation (RAG) means the assistant first searches your own documents for the passages that answer a question, and then writes its reply using only those passages. It answers from your current price list rather than from whatever the AI model happens to remember, and it can show which document it used.
An illustrative example, not a client case: a distributor in Tamil Nadu keeps its dealer price list in a PDF and its dispatch status in a sheet. A dealer asks, “What is the rate for the 1 HP model, and has my order left the godown?” The assistant finds the current row in the price list, looks up the order in the dispatch sheet, answers both with the price list’s effective date, and hands the chat to a person if the question is about a discount or the documents disagree.
RAG is only as good as the documents behind it. An out-of-date price list gives confident wrong answers, so every source carries an effective date and an owner who keeps it current, and each user sees only the documents their role allows.
CRM update bots
After a call or a WhatsApp conversation, the bot drafts the CRM entry — contact, requirement, next step and follow-up date — for the staff member to confirm in one tap, instead of retyping it at the end of the day or not at all. A weekly list of enquiries with no next step goes to whoever owns them. The record is only written after a person confirms it.
